Delegate Joining Instructions


We are delighted that you will be joining us at The University of Warwick. We hope that the information provided in this document will help you to get the most from your event. Please bring these instructions with you. You will find them useful whilst on campus.

ACCOMMODATION

On arrival, it is probably quickest and easiest to take a taxi from the Railway Station (about £6). Alternatively, during the day, a regular bus service (see Travel) operates from the outside the station to the university.

Accommodation is mainly in single study bedrooms, in either single en-suite rooms, or standard rooms with shared facilities. All rooms have tea and coffee-making facilities, as well as clock radios and hairdryers, and are within easy walking distance of the conference sessions.

Room keys are available from Rootes Building from 15:00 on the day of arrival. Your accommodation will be standard or en suite dependant on your conference specification. Please vacate your room by 09:30 on your departure day. A luggage store is available in Rootes Building. Please note bedrooms do not have phones however phones are available throughout the campus. Rootes Reception is open 07.00 – 23:00.

Should you be arriving after 23:00 please contact reception and your organiser in advance.

ARRIVAL

Residential delegates should go first to Reception to collect their room keys. Day delegates should go straight to the Conference Desk at Rootes Reception. You may check in from lunchtime on Monday, but may not be able to collect your room key until 15.00.

Once you have collected your room keys and have settled in, register at the Conference Desk in the foyer and collect your badge and conference folder. The first session is at 13.30 on Wednesday. Delegates must check out by 09:30 on the day of departure. Guests should retain their room keys for the duration of the conference and return them to Reception on checking out. Safe storage of luggage will be provided on the final morning – guests leaving earlier should check with the Conference Desk for safe storage.

BOOK DISPLAY

Conference delegates will be pleased to see Rex Williams in charge of the book exhibition in Lib 1. A number of other publishers will be represented at the Conference.

CAR PARKING

Delegates are invited to park in car parks 6, 7, 8 & 15 where car parking is free of charge during your event. If you are parked in car parks 15 or 7, you will need to collect an exit-code from Rootes Reception in order to leave these car parks. All of the University’s car parks are displayed on the accompanying “campus map”. A luggage store is available in Rootes building if access to bedrooms is not available upon arrival.

Please note meeting rooms, accommodation and dining are not all under one roof and car parks are not adjacent to these areas so it is advisable to bring suitable clothing and umbrellas as appropriate.

CONFERENCE DESK / REGISTRATION

Registration will take place in the Rootes Building (building 49 on the plan). Registration will be open from 12:00 - 18:00 on Monday and from 08:00 - 10:30 on Tuesday; after 10:30 on Tuesday resident delegates should collect their key from Rootes Reception and check in, before registering at the desk on the Physics Concourse.

At registration you will receive your delegate information and your badge. Please wear your badge at all times as it allows entry to the restaurants, aids security and enables you to identify fellow delegates.

The conference desk will be open for registration and enquiries as follows:

Monday 7 April 12.00 – 18.30 (Rootes Reception)
Tuesday 8 April 08.30 – 17.30 (Physics Building)
Wednesday 9 April 08.30 – 15.30 (Physics Building)


Messages can be collected at the conference desk, where Jodie and Slink will also be happy to help with other enquiries.

CONFERENCE DINNER

The Conference Dinner and Tuesday evening's reception will be held in the Chancellor’s Suite, which is located on the second floor of the Rootes Building (reception at 19:00; Dinner at 20:00).

CONTACT NUMBERS AND MESSAGES

Messages for delegates can be left with conference staff on the following phone number: + 44 (0) 7697 374554 or +44 (0) 7966 395594. They will be passed to delegates at the earliest opportunity, but those awaiting messages are urged to check with the conference desk at regular intervals. Colleagues/family may also leave any urgent message for you from 07:00- 23:00 with Rootes Reception on 024 7652 2280. For emergency messages outside these times please call the main Switchboard on 024 7652 3523.

DIRECTIONS

EMAIL ACCESS

All bedrooms on campus are networked for free internet access (for computers with an Ethernet network card). Internet cables are available from Rootes Reception. Alternatively PCs with free internet and email access are available for both day and residential guests in Rootes Reception - these may be accessed 07:00 23:00 everyday. Wireless coverage is also available in the Rootes foyer & in the Physics Concourse.

EMERGENCY SERVCES AND FIRE PROCEDURES

For help in an emergency dial 22222 from any internal telephone and your call will be directed appropriately. Visitors are asked to familiarise themselves with the University’s fire procedures which are displayed in each bedroom.

On discovering a fire in other buildings:

Raise the alarm by breaking the glass in the nearest Break Glass Point.
On hearing the continuous ringing of fire bells:
Stop what you are doing
Leave by the nearest Fire Exit
Walk calmly, do not run
Do not stop to collect personal belongings
Make your way to the nearest evacuation point, standing well clear of the building.

Do not re-enter the building until told to do so by the Fire Service or University Security Staff.

FACILITIES

In the mall area close to the Rootes Building there are: Natwest, HSBC and Barclays Banks with cash dispensers, a pharmacy, hairdressers, Post Office and a supermarket incorporating a newsagent. Other facilities include a cinema and bookshop in the Arts Centre.

Sports facilities are available to delegates free of charge but you will need to take your room key in order to access these. Facilities include swimming pool, squash courts, gymnasium and outside tennis courts. Squash and tennis courts can be booked at the Sports Centre Reception (Ext 23011). The general opening times are: Monday – Friday 07:15 – 21:30

MEALS

Meals are included in the conference rate (see registration form) and will mainly take place in Rootes Restaurant. This is situated on the first floor of Rootes Building. Breakfast will be served between 07:30 – 09:30 for residential delegates. To gain access to the restaurant you will need your name badge. Please note that the Conference Dinner must be booked in advance.

Delegates arriving before lunch on Monday will find a number of places open on campus - such as the Warwick Arts Centre and Rootes Building - where food can be purchased.

MEDICAL ASSISTANCE

The University Health Centre is open Monday - Friday 9:00am-1:00pm and 2:00pm-5:00pm. Visitors in need of emergency assistance should contact Security on internal extension 22222.

MEETING ROOMS

The venue for plenaries is the Physics Lecture Theatre located in the Physics section of the Sciences building (no. 44 on the map). Seminar rooms are located in the same building. All workshops/seminars/breakouts are in this building.

PROGRAMME

The programme may be found on the BACS website at www.canadian-studies.net, along with registration forms.

RECEPTIONS

Delegates are warmly invited to attend the receptions during the conference. The Québec Government Office will host a lunchtime reception on Tuesday, at which this year's Prix du Québec will be awarded, while the reception which precedes the Conference Dinner is hosted by the Canadian High Commission.

REPORTING INCIDENTS

In the unlikely event of an accident or other incident occurring on University premises, please report immediately to Rootes Reception (Ext. 22280) who will then take appropriate action.

Out of reception opening hours, please dial 22222 from an internal phone, or 024 7652 2222 externally to be in direct contact with 24 hour security staff.

SHUTTLE BUS

All guests will collect bedroom keys from the Rootes Building (no. 49 on the campus plan). Standard accommodation is in residential blocks close to this building. For guests in, the slightly more distant, en-suite accommodation areas the University operates a complimentary shuttle bus from Rootes Building This service runs between the hours of 07:00 – 10:00 & 15:00 – 20:00.

TRAVEL TO THE UNIVERSITY OF WARWICK

The nearest railway station to the University of Warwick is Coventry. Coventry Intercity station is the nearest station and only four miles from the University. The Euston service runs half-hourly with an approximate journey time of 70 minutes. Services to Birmingham International and Birmingham New Street are frequent throughout the day. There is a large taxi rank at Coventry station. Alternatively, a regular bus service runs to the centre of the campus - Travel West Midlands 12 or 12a, or Stagecoach X10 or X12 bus from the Warwick Road Bus Stop (which is signposted from the station).

Birmingham International Airport is approximately 30 minutes by taxi (approx. 13 miles, about £20). A frequent train service runs to Coventry from Birmingham International station, adjacent to the airport. The University is approximately 1 hour from Nottingham East Midlands Airport, 2 hours from Luton Airport and 15 minutes from Coventry Airport.
